Overview
The Project Coordinator supports the Project Manager in delivering ADE’s distributed BESS portfolio, providing the project controls, coordination, documentation and administrative backbone that allows multiple 5MW sites to be delivered concurrently and to a repeatable standard. The role keeps schedules, budgets, risk and action registers, procurement records and reporting current and accurate, coordinates contractors, suppliers and internal stakeholders, and ensures project and governance documentation is complete and audit-ready from Notice to Proceed (NTP) through construction, commissioning, energisation and handover to Asset Management.
Reporting to the Project Manager, this is a hands-on coordination and project-controls role focused on the day-to-day administration of delivery across assigned sites. It removes administrative and coordination load from the Project Manager so that delivery scales across the 60-site build-out, and is a development pathway toward a Project Manager role within ADE.

AMPYR Australia:
- Is constructing the 300 MW / 600 MWh Bulabul 1 BESS project along with a rapidly growing pipeline of more than 2, 500 MW of utility energy storage projects.
- Owns a 23MW portfolio of C&I solar assets across 130+ sites and is developing a 300MW portfolio of distributed BESS assets (AMPYR Distributed Energy or ADE), comprising 60 x 5MW battery sites with all sites planned for deployment by mid-2028.

Responsibilities
Project Coordination and Controls
- Maintain integrated project schedules, trackers and registers under the Project Manager’s direction, updating progress, milestones and critical-path status across assigned sites.
- Support budget and cost control by maintaining commitment and actuals trackers, processing invoices and variations, and flagging variances to the Project Manager early.
- Maintain project risk, action, decision and issue registers, and schedule, organise and minute risk reviews and project governance meetings.
- Coordinate resourcing, site access, logistics and day-to-day delivery activities across multiple concurrent sites.
Procurement and Contract Administration
- Support procurement activities, including preparing RFQ and tender packs, collating bids, and maintaining procurement trackers and purchase orders under the Project Manager’s direction.
- Administer BOP, OEM and subcontractor documentation, including contracts, insurances, licences and compliance certificates, tracking deliverables and expiry dates.
- Process contractor progress claims, variations and invoices for review and approval by the Project Manager and Delivery Director.
Documentation, Reporting and Stakeholder Coordination
- Own project document control, maintaining the document management system, version control and transmittals, and ensuring design packages, permits, as-built records, O&M manuals and handover packs are complete and correctly filed.
- Prepare accurate and timely project reports, dashboards and governance packs for the Project Manager and project forums.
- Coordinate day-to-day communication and interfaces with contractors, DNSPs, councils, utilities, landowners and internal teams, tracking approvals and actions through to closure.
Commissioning, Handover, HSSE and Continuous Improvement
- Support the commissioning and handover process, compiling completion documentation, punch-lists, defect and warranty trackers and handover packs for transfer to Asset Management at COD.
- Support connection, energisation and registration administration with DNSPs and AEMO to keep milestones on schedule.
- Support HSSE administration, including maintaining safety documentation, contractor inductions and WHS records and incident logs, and upholding HSSE standards across all site activities.
- Contribute to continuous improvement of project templates, tools and the repeatable delivery model, applying lessons learned across the portfolio.
Qualifications, Skills & Experience
Essential
- Bachelor’s degree in engineering, construction management, project management, business or a related discipline, or equivalent practical experience.
- 2–4 years of experience in project coordination, project administration, project controls or engineering and delivery support within BESS, solar, renewable energy, construction or infrastructure.
- Strong organisational and document-control skills, with high attention to detail and the ability to manage multiple workstreams and deadlines.
- Proficiency in MS Office (particularly Excel) and in project, scheduling or collaboration tools such as MS Project, Procore, Primavera P6, or Smartsheet.
- Working understanding of the project delivery lifecycle and of basic commercial and contract administration.
- Clear written and verbal communication, with the ability to coordinate effectively across contractors and internal teams.
Desirable
- Exposure to BESS, solar or electrical infrastructure projects.
- Familiarity with Australian energy market and connection processes (DNSP, AEMO) and with WHS requirements.
- Experience supporting multi-site or portfolio-scale delivery across distributed energy assets.
- Certificate IV or Diploma in Project Management, or progress toward PMP or PRINCE2 certification.
